Associations of Institutions
Run your AGM, subscriptions and representative voting properly.
Member institutions and their people, subscriptions by tier, delegate places for events, a portal for each institution’s representative, and voting through designated representatives.
The problem
What gets in the way today
Subscriptions tracked by letter
Each institution’s subscription depends on its tier, and the secretariat follows up by phone and letter.
Delegate lists change until the last day
Institutions name, swap and add delegates by email, and badges are printed by hand.
Confusion about who votes
Attending the AGM and being entitled to vote are different things, but the lists are easily mixed up.
What Communora360 does
Capabilities
Member institutions
Each institution with its people, its tier and its standing.
Subscriptions by tier
Subscriptions set by tier and paid by Mobile Money or recorded by your team.
Representative portal
Each institution’s representative signs in and sees only their own institution.
Delegate places
Places per institution for an event, named by the representative, with substitutes and approvals.
Badges and check-in
Badges with QR codes and check-in at the door (check-in needs an internet connection).
Representative voting
Votes cast by the designated representative of each institution, with weighted votes where your rules need them.
Linked member organisations
Optional: where member institutions run their own schemes, the association sees only the totals each one chooses to share.
Audit trail
Who did what and when, with before and after values, for the secretariat and auditors.
Good to know. Attending an event does not make a delegate an eligible voter. Who may vote is decided by the electorate your electoral commissioner sets for each voting programme, for example the designated representative of each institution in good standing.
Benefits
What changes for your organisation
- Every institution’s standing in one place
- Representatives manage their own delegates
- Badges and check-in without retyping lists
- A voters’ list set by your rules, not by attendance
- Each institution sees only its own records
Illustrative workflow
How it can work
-
1
Subscribe
Each institution pays its subscription for its tier.
-
2
Name delegates
The representative names delegates for the event’s places in the portal.
-
3
Attend
Delegates receive badges and are checked in at the door.
-
4
Vote
Only the designated representatives on the electorate vote, with weights if your rules use them.
An example only: your steps follow your own rules and the modules switched on.
Questions
Associations of institutions: common questions
Can the secretariat keep the association's accounts here?
Yes, with the optional Accounts module: subscriptions and event fees go into the books automatically, expenses are approved by other officers, and the financial reports are ready for the AGM and the auditor.
Does registering a delegate for the AGM give them a vote?
No. Event places and voting are separate. Attending an event does not make a delegate an eligible voter: the electorate for each voting programme is set by your electoral commissioner, for example one designated representative per institution.
Can an institution see other institutions?
No. Each representative sees only their own institution in the representative portal.
Can votes be weighted by tier?
Yes, where your rules need it. Weighted votes are set for the voting programme, and the results show them.
Does the association see our member institutions’ own members?
Only if your arrangement uses linked member organisations, and then only the totals each member organisation chooses to share. Member-level records stay with the member organisation.
